Working with Marqet Playbooks

After your Playbook is set up by the Marq team, you can monitor its activity, manage templates, and control which users receive generated content. This guide covers everything you need to know about working with Playbooks once they're running.

Accessing Your Playbooks

Playbooks appear in the Apps section of your Marqet workspace.

How to Find Your Playbooks

  1. Log in to Marqet
  2. Navigate to the Apps section
  3. Look for apps with the type labeled as "Playbook"
  4. Click on a Playbook to open its management interface

You'll see all Playbooks that have been installed for you, along with their names and types.


The Playbook Activity Dashboard

The activity dashboard is your central hub for monitoring Playbook performance and viewing generated content.

What the Dashboard Shows

Recent Runs

The dashboard displays a full activity log of all recent Playbook runs:

  • When each run occurred
  • Whether runs completed successfully
  • How many records were processed
  • How many projects were generated

Generated Content Details

For each Playbook run, you can see:

  • Which records were pulled: View the specific data records that met criteria in the last batch update
  • What content was created: See all projects generated for each record
  • Who received content: Understand which enrolled users got notifications

Example: For a real estate Playbook, the dashboard shows which specific listings were processed, the marketing materials created for each, and which agents received them.

Filtering Activity by User

The dashboard allows you to filter activity by enrolled users:

  1. Select a user from the filter options
  2. View only content that was created for that specific user
  3. Helpful for troubleshooting or reviewing individual user activity

Use case: An agent asks "Did I get materials for my new listing?" You can filter by that agent to see exactly what was generated for them.

Understanding Run Frequency

The dashboard shows the pattern of Playbook runs. If your Playbook is set to run every 6 hours, you'll see entries approximately:

  • 12:00 AM
  • 6:00 AM
  • 12:00 PM
  • 6:00 PM

Not every run generates content - only runs where new records meet the criteria will create projects.


Managing Templates

One of the key things you can manage yourself in Playbooks is which templates are used for content generation.

Accessing Template Settings

  1. Open your Playbook app
  2. Navigate to the Settings tab
  3. Find the Templates section

Adding Templates

To add templates to your Playbook:

  1. In the Templates section, click to add a template
  2. Select from your Marq template library
  3. The new template will be used for future Playbook runs
  4. Make sure the template has smart fields that match your data source

Example: Your real estate Playbook currently generates flyers. You want to add social media graphics. Simply add the social template, and future runs will generate both flyers and social graphics.

Removing Templates

To remove templates you no longer need:

  1. In the Templates section, locate the template to remove
  2. Remove it from the Playbook
  3. Future runs will no longer generate that type of content

Important: Removing a template only affects future runs. Previously generated content remains in user accounts.

Template Requirements

Templates used in Playbooks must:

  • Have smart fields: Smart fields are populated with data from your source
  • Match your data: Smart fields should correspond to columns in your data source
  • Be published: Templates must be published in Marq to be available for Playbooks

Note: If you're unsure whether a template will work with your Playbook, contact your Marq team. Data mapping between templates and sources can require configuration.


Managing Enrolled Users

Enrolled users are the people who receive generated content from Playbooks. You can manage enrollment yourself.

What "Enrolled" Means

When a user is enrolled in a Playbook:

  • They receive generated content intended for them based on data criteria
  • They get email notifications when content is created
  • Projects appear in designated folders in their Marq account

Example: In a real estate Playbook, agents are enrolled. When a listing assigned to Agent Sarah meets the criteria, Sarah receives email notification and the listing materials appear in her Marq account.

Accessing User Enrollment Settings

  1. Open your Playbook app
  2. Navigate to the Settings tab
  3. Find the Users or Enrollment section

Enrolling Users

To add users to your Playbook:

  1. In the Users section, add a new user
  2. Select from your Marq account users
  3. Configure whether they should receive email notifications
  4. Save changes

Newly enrolled users will start receiving content on the next Playbook run that generates content for them.

Un-Enrolling Users

To remove users who should no longer receive content:

  1. Locate the user in the enrollment list
  2. Remove them from the Playbook
  3. They will no longer receive new content from future runs

Note: Un-enrolling doesn't delete previously generated content from their account.

Managing Email Notifications

For each enrolled user, you can control whether they receive email notifications:

  • Notifications on: User gets email when content is generated for them
  • Notifications off: Content still generates but no email is sent

Use case: Some users want emails to know immediately when content is ready. Others prefer to just check their Marq account periodically without email interruptions.

  • No errors: Runs complete successfully without failures

What to Watch For

Monitor the dashboard for potential issues:

No Content Generated for Multiple Runs

Possible causes:

  • No new records in data source meeting criteria
  • Data source connection issue
  • Criteria too restrictive

Action: Check your data source to verify new records exist. If they do but Playbook isn't generating content, contact Marq team.

Missing Expected Content

Possible causes:

  • User not enrolled
  • Data record doesn't meet criteria

Duplicate Content

  • Data source has duplicate records

Regularly Review the Dashboard

Check the activity dashboard weekly to ensure Playbooks are running as expected and content is being generated appropriately.

Keep User Enrollment Updated

As team members join or leave, keep the enrollment list current. Remove users who no longer need content to avoid confusion.

Maintain Template Quality

When you update templates in Marq, Playbooks automatically use the latest version. Test changes before publishing template updates.

Keep Data Sources Clean

Playbook quality depends on data quality. Work with your team to maintain clean, consistent data in your sources.

Communicate with Users

Let enrolled users know when you add new templates or make changes to what content they'll receive.

Monitor Volume

Can enrolled users see the Playbook dashboard?

Typically only administrators see the full dashboard. Enrolled users just receive generated content - they don't interact with the Playbook itself.

How do I know what smart fields my templates need?

Smart fields should match the columns in your data source. Your Marq team configured this mapping during setup. If you're adding new templates, check with your team about which smart fields are needed.

Can I have different templates for different users?

All enrolled users receive content from all configured templates. If you need user-specific template selection, that requires criteria configuration by the Marq team.

What happens if a template is deleted from Marq?

If you delete a template that's being used by a Playbook, the Playbook will fail when it tries to use that template. Always remove templates from Playbook settings before deleting them from your Marq library.
