Bulk Update Templates in Marq Creative Studio

Save hours of administrative work by updating multiple templates at once. Creative Studio's bulk update features let you change names, descriptions, sharing settings, and filters across dozens or hundreds of templates in a single action—perfect for brand refreshes, team reorganizations, and template library management.

Admin-only feature: Bulk updates are only available to admins in Creative Studio and will not affect how your users see or access templates (unless you change sharing settings).

What are Bulk Updates?

Bulk updates allow you to select multiple templates and modify them all at once, instead of editing each template individually. This feature dramatically reduces the time needed for:

Accessing Bulk Update Features

Prerequisites

Before using bulk updates, you need:

  • Admin access (Account Owner, Team Admin, or Template Admin)
  • Access to Creative Studio (available February 19th or via early access)

How to Get Started

  1. Navigate to Creative Studio (click your profile Creative Studio)
  2. Use filters to find the templates you want to update (optional but recommended)
  3. Select templates by checking the box next to each template
    • Or click Select All to choose all visible templates
  4. Once templates are selected, the bulk action toolbar appears
  5. Choose your action: EditShare, or More actions

Bulk Editing Template Names

One of the most powerful bulk update features is the ability to modify template names across your entire library.

How to Bulk Edit Names

  1. Select the templates you want to rename
  2. Click Edit in the toolbar
  3. Select Name as the field to edit
  4. Choose your editing option:
    • Add before (prefix)
    • Add after (suffix)
    • Replace (complete replacement)
  5. Enter your text
  6. Click Update

Add text before existing names while keeping the original name intact.

Example:

  • Original: "Business Card Template"
  • Add before: "2026 Q1 - "
  • Result: "2026 Q1 - Business Card Template"

Add After (Suffix)
Add text after existing names.

Example:

  • Version numbers (" - v2.0")

Replace
Completely replace the existing name with new text.

Example:

  • Original: Multiple different names
  • Replace with: "ARCHIVED TEMPLATE"
  • Result: All selected templates now named "ARCHIVED TEMPLATE"

Use carefully: Replace removes the original name entirely. This is useful for marking groups of templates for deletion or archival, but you'll lose the original naming information.


Bulk Editing Template Descriptions

Update template descriptions to provide better context, instructions, or usage guidelines across multiple templates.

How to Bulk Edit Descriptions

  1. Select the templates you want to update
  2. Click Edit in the toolbar
  3. Select Description as the field to edit
  4. Choose your editing option:
    • Add before - Prepend text to existing descriptions
    • Add after - Append text to existing descriptions
    • Replace - Completely replace descriptions
  5. Enter your text
  6. Click Update

Prepend urgent information to all related templates:

  • "NEW: Updated brand guidelines - "

Bulk Updating Sharing Settings

Manage template access for multiple templates at once—perfect for when teams change, new groups are added, or you need to reorganize permissions.

How to Bulk Update Sharing

  1. Select the templates you want to share or re-share
  2. Click Share in the toolbar
  3. Choose your sharing action:
    • Add to selected groups
    • Remove selected groups
    • Replace all
  4. Select the groups or users
  5. Optionally check Notify new groups via email
  6. Click Update

Sharing Options Explained

Add to Selected Groups
Add additional teams or users while keeping existing access.

When to use:

  • New team needs access to existing templates
  • Expanding access without removing current permissions
  • Adding individual users to shared templates

Example: Marketing templates are currently shared with "Marketing Team." You add "Sales Team" as well. Now both teams have access.

Remove Selected Groups
Remove specific teams or users from template access.

When to use:

  • Department restructuring
  • Removing access from users who left the team
  • Limiting template visibility

Example: Remove "Contractors" group from all confidential templates while keeping access for internal teams.

Replace All
Remove ALL current access and grant access only to newly selected groups.

When to use:

  • Complete access restructuring
  • Starting fresh with new team organization
  • Moving templates to different departments entirely

Important: Replace all will unshare templates from ALL existing groups and share only with the groups you select. Use this carefully when reorganizing template access.

Example: Templates are currently shared with "Old Team A," "Old Team B," and "Contractors." You replace all with "New Department." Only "New Department" will have access—all other groups lose access.

Email Notifications

When sharing templates with new groups, you can check "Notify new groups via email" to alert users that new templates are available to them. This is helpful for:

  • Announcing new template launches
  • Informing teams about newly available resources
  • Ensuring awareness of template library updates

Best Practices for Bulk Updates

Before You Update

Filter first, then select - Use Creative Studio's powerful filters to narrow down to exactly the templates you need before selecting them. This prevents accidentally updating the wrong templates.

Start small - If you're new to bulk updates, try updating 5-10 templates first to verify the results before updating your entire library.

Document your changes - Keep notes about major bulk updates (what you changed, when, and why) for future reference.

Naming Conventions

Be consistent - Use the same prefixes/suffixes across related templates

  • Good: "Q1 2026 - Social Post", "Q1 2026 - Email Header"
  • Bad: "Q1 2026 - Social Post", "First Quarter - Email Header"

Use clear separators - Use " - " (space-dash-space) for readability

  • Good: "EMEA - Business Card"
  • Bad: "EMEA-Business Card" or "EMEA Business Card"

Include dates in sortable format - Use YYYY-MM-DD or YYYY Q# formats

  • Good: "2026 Q1 -" or "2026-01 -"
  • Bad: "January 2026 -" (harder to sort)

Sharing Strategy

Test with one group first - When doing major access changes, test with one small group before rolling out to everyone.

Communicate changes - Let team members know when you've updated template access, especially if removing permissions.

Use "Add" instead of "Replace" - When possible, add groups instead of replacing to avoid accidentally removing access.

Safety Tips

You can't undo bulk updates - Once applied, bulk changes are permanent. Filter carefully before updating.

Review your selection - Before clicking Update, scan through your selected templates to verify you've chosen the right ones.

Use descriptive prefixes temporarily - If you need to bulk delete templates later, add a prefix like "DELETE - " first, then filter by that prefix to safely select only those templates.

Can I undo a bulk update?

No. Bulk updates are permanent once applied. Always filter carefully and review your selection before clicking Update.

Is there a limit to how many templates I can update at once?

Creative Studio can handle updating hundreds of templates at once. However, for very large updates (100+), consider breaking them into smaller batches for easier management.

Will users be notified when I bulk update template names?

No. Users will see the updated names the next time they access templates, but they won't receive a notification unless you check "Notify new groups via email" when updating sharing settings.

Can I bulk edit template designs?

No. Template designs are unique and must be edited individually. Bulk updates only apply to template metadata (names, descriptions, filters, sharing settings).

What happens if I accidentally bulk update the wrong templates?

You'll need to manually correct the changes. This is why we recommend filtering carefully and starting with small batches when learning bulk updates.

Can I see a preview before applying bulk updates?

Not currently. The updates apply immediately when you click Update. Review your selected templates carefully before proceeding.

Do bulk updates work with scheduled templates?

Yes. You can bulk update scheduled templates' metadata (names, descriptions, sharing). Scheduling settings must be managed separately.
